License verification: what to send and what to ask for in return
License verification at Solar Farm Thailand is a document check, so send the license itself: scope, holder name and expiry are what get read. Add the ordering entity’s company registration, with a note if that name differs from the license holder. Importers in Germany and the EU should also state their import permit status, since export documentation has to match it.
In return, ask for the Thai GACP certificate, together with the third-party Certificate of Analysis for the specific batch on offer, not a representative one; one is issued per batch. Samples should come from that same batch. A COA follows drying and sampling, so a lot still curing has none yet; ask for the expected date.
If your QA process needs tests beyond the standard panel, which reports potency, microbiological results, heavy metals and pesticides, raise it at enquiry so it is arranged before release, not after packing.
Reservations, labelling and where releases slow down
Ask for written reservation confirmation naming batch identifier, cultivar, quantity and how long the hold runs; a lapsed hold normally returns the batch to open stock. On labelling, the useful minimum is that each sealed unit ties back to its lot record: batch number, cultivar, net weight, pack date and COA reference. Agree any importer name, second language or product code before packing; changes after sealing mean repacking.
Releases rarely wait on the crop; they wait on paperwork. The usual causes:
- License details that do not match the ordering entity
- An import permit still pending at release
- Testing requested after packing
- Payment arriving after the hold has lapsed
- Consignee or freight details arriving after documents are drafted
